Hotel Policies
Deposit Policy:Confirming Your Stay...To confirm your 2013 golf package, a $50 deposit per person is due by Jan 31st. Please call 585-535-7300. Click Here for Office Hours.
When you call...Please be ready to give us your dates of stay, name, group name, phone number, address, email (for confirmation letter), credit card number, name of room-mate, and tee-times (if not already booked). At this time, we do NOT have an electronic hotel reservation system that carries your information over from year to year. A confirmation letter will be emailed within 48 hours or direct mailed to you. Please be patient with us, we are working as fast as possible. There are a lot of you and only a few of us! We can always call you back at a better time if requested.
Cancellation Policy: A 14 day notice (30 days for holidays) is required to receive your deposit back less a $10 handling fee Cancellations within 48 hours and no-shows will result in the charge of the full package price to the credit card on file. There is a $10 fee for all refunds or you may receive a gift certificate for the full amount. No-Snow Policy - If you are staying on ski or snowshoe package and there is no snow, you may stay anyway at an adjusted package price, re-book for another date in the same year or lastly, re-book for the following year. A Byrncliff gift certificate will be issued if there is no availability to re-book.
Single Occupancy: Packages are based on double occupancy. There is a $25 single occupancy charge per day during the week and $50 single occupancy charge per day on the weekend.
Restaurant Policies:
- Gratuities for your servers are NOT included in the package price
- Groups of 24 or more may be subject to receiving a buffet, family-style or limited a la carte meal selections
- Gratuity may be added on to your package for groups of 20 or more or by your request for smaller groups
- Groups of 16 or more may be asked to make a meal selection upon check-in
- Dinner reservations are required for all groups on the package and can be made a check-in. Groups of 8 or more can choose dinner times before 6pm or after 8pm on Fridays and Saturdays due to the high volume of non-hotel guests on these days.
- Outside food and beverage is not allowed in the restaurant or bar
Room Assignments: Requests for specific rooms and/or buildings will try to be accommodated, but will not be guaranteed. A rooming list with the names of the guests staying in each room is required 48 hours prior to arrival. Lists may be emailed to Reservations, mailed, or faxed to 585-535-7319.
Ice: There is one ice machine shared by 25 rooms that may be used to fill the small ice buckets in the hotel rooms only. Ice may be purchased by the bag at the Front Desk for all other needs. Thank you for your understanding and cooperation!
Re-booking Policies:
- If you wish to re-book for the following year, please be sure to fill out a "re-booking reservation sheet" and leave it at the front desk upon check-out.
- Guests have the opportunity to re-book their stay by Dec. 31st of the current year or the rooms will be released to the general public, beginning with the official Byrncliff waiting list.
- You may pay your deposit for next year upon check-out or by Jan. 31st of the following year. All reservations are considered "tentative" until a deposit is received. After Jan. 31st, reservations that are not confirmed with deposits may be cancelled. Before cancelling any reservations, attempts will be made by our staff to contact the group leader.
- Changes to your reservation including dates, number of guests, number of rooms may not be confirmed until after the 1st of year or until we can confirm availability.

We reserve the right to discontinue our services and the use of our facility to any person or group practicing loud or abusive behavior or language in our dining room, motel rooms, or anywhere on our Byrncliff Resort & Conference Center property.
